Users and persons in project

For users to work in the project (for example create daily reports or records of event), they must be assigned to the project and have at least one project role. Each organization on the project manages its own people on the Users and Persons in Project tab.

On Project configuration, Users and Persons in Project is the first tab. Open it after you select Project configuration for your project on the Projects screen.

When your organization has previous organizations in the reporting hierarchy (see Organizations Permissions), the tab shows two inner tabs:

  • your organization name (for example North Renewables) — manage your organization's users and persons in the project
  • Other organizations — read-only list of people from other organizations in the hierarchy (without their SUM-IT Role In Project or Organization Project Roles)

If you do not have previous organizations in the hierarchy, you only see your organization's table (no inner tab strip).

On your organization's tab, the table title is Users and persons in Project. Use Add users and persons to project to assign people. When you have Create/Edit permission, you can also use Allow changing person roles in activity above the table.

Permissions

The screen is available for all users who can see the project on Projects screen. Users with Create/Edit permission on Project Configuration -> Users and Persons in Project functionality can use Add users and persons to project, Edit, and Allow changing person roles in activity. Users with Delete permission on that functionality can remove users and persons from the project.

Actions apply only to people in your organization. The Other organizations tab is read-only.

Add or edit user in project

Add users and persons

  1. On your organization's tab, click Add users and persons to project.
  2. In Add users and persons to project, select one or more people from your organization who are not yet on the project. The table shows Person identifier, Name, Email Address, and SUM-IT Role (system role).
  3. Click Add.
  4. In Add user/person to project, set the project roles below, then click Save.

If no Person role in project exists on the project yet, an info message appears and you must add person roles before you can assign people.

Use Manage users and persons in the selection dialog when you need to create or maintain people in your organization before adding them to the project.

Edit an existing assignment

On a row in Users and persons in Project, click Edit to open Edit user/person in project with the same role fields as when adding.

Role fields

For users (people with a login), set:

  • SUM-IT Role In Project — the user's role in this project
  • Organization Project Roles — required for the user to work in the project (for example create daily reports)
  • Default role on site — the person role used on activities when no other role is chosen

For persons without a user account, SUM-IT Role In Project and Organization Project Roles are not shown; set Default role on site.

Important

For users, select at least one Organization Project Role. Without it, the user cannot create daily reports.

SUM-IT Role In Project lists roles defined in your organization, excluding System Administrator. Project Manager appears only when the user's system role is also project manager. By default, the system role is selected as the project role, but you can choose a different role in the project.

  • If System role for the user is Project User, no project role is selected by default.

  • If System role is System Administrator, the SUM-IT Role In Project control is disabled, because that role cannot be superseded in the project.

Use Manage person roles in project in the dialog header when you need to add or change person roles on the project before assigning Default role on site.
